Quotes in Excel or Word vs quoting software: when to switch

Excel and Word are free and flexible, and for your first quotes they're fine. Here's where they start costing you time and deals, and how to tell it's time to switch.

Excel and Word are fine for quotes when you send a few a month and every quote is different. They start costing you once you send quotes weekly: you copy the previous quote, retype client details, fix formulas, export a PDF and then wait without knowing whether the client opened it. Quoting software keeps your products, prices and clients in one place, calculates totals and VAT for you, and shows when a quote is opened and signed.

What Excel and Word do well

  • They're free or already paid for. Almost every business has Office or Google Workspace.
  • Total freedom. You decide the layout, the wording and the calculations.
  • Excel is great at numbers. Quotes with many lines, quantities and formulas are easy to build.
  • No learning curve. Everyone knows how to open and send a document.

If that's all you need, start with our free quote template and don't overthink it.

Where it starts to hurt

TaskIn Excel or WordIn quoting software
Starting a new quoteCopy the last file, clear the old client, renameNew quote, pick client, products are already there
Prices and totalsRetype or copy prices; check formulas and VATPrices come from your product list; totals and VAT are calculated

SendingExport PDF, attach to an emailSend a link, or email it from the app

ApprovalPrint, sign, scan, or a reply emailOnline approval with an electronic signature

None of these is a disaster on its own. Together, they add up to 15 to 30 minutes per quote, plus the deals you lose because the client had a question and never asked it. We looked at that second effect in why PDF quotes lose deals.

The mistakes that slip into spreadsheet quotes

  • Old client details left in a copied quote: the wrong name in the greeting is more common than you'd think.
  • Broken formulas after adding a row, so a line isn't counted in the total.
  • Outdated prices because the template wasn't updated after a price change.
  • Wrong VAT when one quote mixes rates or the client is abroad.
  • Version chaos: "quote_v3_final_FINAL.pdf" and the client approves the wrong one.

Five signs it's time to switch

  1. 1You send more than a few quotes a month and most of them look alike.
  2. 2You keep a price list somewhere and copy from it into every quote.
  3. 3Clients often ask for a different option or package, and you make a new version each time.
  4. 4You regularly chase clients without knowing whether they've even opened the quote.
  5. 5You've sent a quote with a calculation or client-name mistake at least once.

If two or more apply, a quote tool will pay for itself in time saved, especially when it's free. See the options in free quote maker and the best quoting software for small businesses.

Switching without losing your way of working

  1. 1Start with your price list: add your most-used products and services once.
  2. 2Rebuild your best quote as a template, including your standard terms.
  3. 3Send the next real quote with the new tool and compare the client's response.
  4. 4Keep Excel for what it's good at, like calculations behind a complex price, and let the quote tool handle the presentation, sending and approval.

In Offinal, the result is a quote your client opens as a web page: they choose options, see the total, ask questions next to a line and sign online. You see when it's opened.
